The Executive Assistant will serve Saddleback Church’s Lead Pastor and Teaching Pastor as an extension of their ministry and will be a liaison to the community, volunteers, and staff. The Executive Assistant will work closely with the Pastors to keep their path clear of non-essential tasks and decisions to allow them to focus on the vision that God has provided to them. A person in this role understands the importance of confidentiality and enjoys growing relationships with others as well as managing details.
WHAT YOU WILL DO:
Manage the Pastors’ Calendars
Protect margin for message preparation.Prioritize their ideal calendar. Prioritize the Pastors’ goals and priorities. Ensure that the right people get the help they need. Make suggestions of things that could be delegated or removed from the Pastors’ schedules to maximize contribution to the team. Prioritize margin and health in the management of the calendar.Manage communication channels
Manage email, phone messages, and relevant communication channels.Respond in a pleasant and timely manner.Make sure appropriate information gets to the Pastors.Serve as a liaison for communication with team members when needed.
Develop and implement systems from the Lead Pastor’s office:
Develop systems for staff and leaders’ care.Categorize and organize books.Categorize and organize sermon content (via Google Drive).
Ensure representation of the Lead Pastor’s office:
Discern key meetings and gatherings that are appropriate for representation.
Assist with various administrative tasks:
Prepare for key meetings (presentations, notes, etc.).Attend key meetings and capture notes and key follow-up items.Assist with sermon preparation.Assist with personal follow-up or admin.Equip and lead assistants on the team.Ensure that travel details are covered.Develop a decision-making grid and process for speaking engagements.
Appoint and equip help for weekends and travel:
Brief staff traveling with the Lead Pastor and/or the Teaching Pastor on key itinerary details.Recruit and equip volunteers to assist the Lead and Teaching Pastors for weekend support (meals, schedule, communication with teams).Assistant on the weekends or travel when necessary.
Assist with personal administrative tasks:
Run errands as needed.Handle personal calendar.Arrange vendors, appointments, etc.
WHO YOU ARE:
Able to work well and thrive in a fast-paced and challenging environment.Excellent administrative and organizational skills.Strong writing skills and an eye for detail.Extremely organized; strong multi-tasking and time-management skills.Proficient with Microsoft Office products.Proficient with Google Suite.Comfortable interacting with all levels of staff.Able to handle sensitive information with the highest degree of integrity and confidentiality.Solution-oriented and calm under pressureAvailable to work after-hours and weekends as needed.

Saddleback Church’s pay philosophy is based on internal and external data for pay equity, along with budgetary considerations for effective stewardship. The minimum pay for this position is expected to be $70,000 per year. A wage posted is not a guarantee of a specific wage for a job offer.
